Many electrification delays are caused not by a lack of technology but by complex sourcing: unclear specifications, many vendors and proposals that can’t be compared. A structured process fixes that. Here is how it works, step by step.

Why sourcing is the hidden bottleneck

Multiple vendors, unclear specifications, fragmented negotiations and internal decision-making slow down fleet decisions. Finding suppliers is only part of the challenge. Comparing them is often harder: different formats, assumptions and service models make proposals difficult to weigh side by side.

Fleet electrification is not one purchase. When vehicles, charging, depot, energy and financing are sourced separately, complexity grows.

Five steps to a structured tender

  1. Define the scope. The fleet sets out its vehicle and charging needs, operating profile, depot situation and timeline as one transition, not as separate purchases.
  2. Structure the request. A structured RFI or RFQ, built on standard templates designed for electrification, goes to vetted suppliers.
  3. Compare like with like. Suppliers respond in a comparable format, so that price, TCO, ESG and delivery terms can be reviewed side by side.
  4. Bring in energy and financing. Charging, energy and financing options are considered together with the vehicles, not after them.
  5. Capture the impact. CO₂ and ESG data are collected as part of the process, ready for Scope 3 and CSRD reporting.

What suppliers need to be ready

Being procurement-ready takes more than a good product. Institutional buyers need clear specifications, documentation, certifications, ESG credentials and a transparent view of what a supplier can deliver. Visibility gets you noticed. Credibility wins the tender.

For suppliers, structured demand is also more efficient than chasing scattered leads. Defined volumes and timelines show where their capabilities fit.

Coordinating similar demand across fleets gives buyers more weight in the market and gives suppliers clearer volumes.
